Alternatively, use the postal booking forms below but please note that spaces available at the time of posting may be taken by the time your form arrives through the post.

SECURE YOUR PLACE WITH A DEPOSIT
A deposit of £50 or £100 (depending on your destination) and any required room-supplement is payable to reserve your place with us. The deposit and any room-supplement is non-transferrable and non-returnable.

If you book within two calendar months of the date of departure, we ask you to pay the full holiday cost. Please ensure that you have travel insurance cover from this time. We hold a limited allocation of seats on the flights and the airline takes back any unused seats around two months before departure. There may be an airline supplement to pay after this date.

WE WILL BE PLEASED TO CONFIRM YOUR RESERVATION
On receipt of your successful booking application, we will send you confirmation of your reservation onto the holiday of your choice. Please note that a booking is not confirmed until you have received this confirmation from us by e-mail or post. With this confirmation we will give you final information about your particular holiday, including travel details with meeting and return times. Please keep this information safe ready for your time of departure.

If the holiday is full, we will contact you to discuss other alternatives including waiting list options for specific fully-booked holidays.

PAYING YOUR BALANCE
We ask you to pay the balance due to us two calendar months before departure. Please carefully note this date, as due to the popularity of our trips we may need to pass any unpaid place on to another person at this point and in order to keep our holiday costs low we may not issue reminders.

Please write to let us know if you are unable to travel. After the two month payment deadline, the full cost is nonreturnable. However, you may be able to make a claim through your travel insurance company if the reason for cancellation falls within the terms of the policy.

We invite those who have a relaxed and cheerful character to come with us and have a marvellous time. These are definitely not boring package holidays; there are plenty of those available elsewhere!

FOR THOSE WITH A RELAXED STYLE - WELCOME!
Oak Hall events are planned with those in their 20's and 30's in mind, but all are welcome who enjoy our relaxed style.

Many travel with Oak Hall on their own and soon find themselves a part of a friendly crowd. We will arrange the rooming for you but if you are travelling with family or friends and have any preferences for sharing rooms, please detail these at the time of booking and we will do our best to help to make it happen.

The lower age limit is 18 years unless travelling with a family, or guardian over the age of 18 years. The holidays are not suitable for children under 7 years except for those holidays designated, "Family Special" when all ages are welcome.

PLEASE LET US KNOW IF… you have a pre-existing medical condition e.g. epilepsy or some form of disability - please include a note with your reservation so that, if necessary, we can let you know about the facilities at this and other resorts.

We do our very best to ensure everything is in place for you to have an enjoyable, well-earned holiday and we work very hard to make sure everything runs smoothly. If you find a problem at the resort, please advise our resort team immediately so the matter can be dealt with promptly. In the unlikely event that the difficulty cannot be resolved, please write to us within 14 days of your return, giving all relevant details.

EVERYTHING IS SECURE
All your payments are kept in a Trust Account until after your holiday is completed. This provides your security for protection against the unlikely event of insolvency and ensures a full refund and repatriation. Additionally our ATOL Licence Number 3207 held with the Civil Aviation Authority in the name of Oak Hall Expeditions Ltd covers our holidays by air. Usually your group will be a minimum of 20 persons.

In the very unlikely event that we cancel a holiday we will notify you straight away to offer you suitable alternatives, or, if you prefer, refund your money in full.

TAXES AND CHARGES
Our prices are calculated to include the current arrangements and rates for VAT. Should there be an increase, this will affect the price. We will absorb any changes in currency exchange rates up to 2% deviation from the rate on 1 October 2008 for the Summer '09 programme and 5 March 2009 for the Winter 2010 programme. Where exchange rates fluctuate beyond 2%, we may request the payment of a currency supplement charge. (E and O.E.)

ADVANCED OAK HALL NEOPLAN COACHES
Where you are travelling by coach, our luxurious Neoplan coaches will take you smoothly overnight to the Alps. We are unable to carry alcohol in our coaches or baggage trailers. To help us take you comfortably, the limit for the combined weight of all an individual's luggage is 25kg (including hand baggage).

SCHEDULED AIRLINES
We fly with scheduled carriers from the London airports. Please note that the flight times given in our literature are local times and correct at the time of printing. Occasionally re-scheduling is made by the Airlines and you may need to be flexible by a day or two. Air flights are occasionally subject to delay due to weather or subject to final adjustment by the airline. As with any travel, there may be delays. Just join in and be positive and supportive if this happens on your holiday!

We detail the approximate Government tax and airport charges separately, which are payable with your final payment but are always subject to change. We will confirm the actual cost at the time of the ticket issue and, if necessary, ask for any extra balance at that stage.

As is usual for flights to Europe, there is a 20kg baggage allowance for each passenger. If you would like to bring more, the airline will charge for this extra amount at the airport. We use return tickets and if you do not travel out with the group, the airline will usually automatically cancel the inbound flight.

COME BY ANY TRANSPORT YOU CHOOSE
On some of our holidays you are welcome to join us in resort having travelled by any means of transport you choose! These are the holidays that have an "X" in their code. You may want to drive a people carrier or minibus to us, fly out, visit somewhere else on the way or even come by train. With this holiday option, you travel independently and then meet us for your unforgettable Oak Hall holiday.

Please ensure that you only book independent flights after you have a confirmed place on the Oak Hall holiday. If you have booked an Oak Hall airport transfer coach, please make sure that your chosen flight is scheduled to arrive in good time, ideally 2 hours, ahead of our transfer coach departure. In the event of your flight being delayed you will need to make your own way to the resort by rail and bus.

ACCOMMODATION

Camping - Enjoying the Fresh Air
Continental campsites are well equipped, with hot showers, and most have a shop or restaurant. The tents we use generally accommodate three people. Married couples have a tent for two at no additional cost. All you need to bring is an airbed, sleeping bag, crockery and cutlery. Our meals are prepared in a central cook tent, served for us to enjoy sitting around the marquee or in the fresh air - camp style with no tables. Each morning, you have the opportunity to make a packed lunch.

With the system of centralised cooking which we operate, we cannot provide special diets and can only offer a very limited vegetarian option. Once or twice during the Expedition you will have the opportunity to assist our "cook team" for a short while after the meal. This is all part of the fun of a camping expedition. With the sun and fresh air, camping is ideal.

Mountain Centres - In Excellent Locations
Run by our own team, these are remarkably good value. Clean and simple, there is a variety of rooms and dormitories. You just need to bring a sleeping bag with you. They are situated in ideal positions for access to the mountains and countryside. The catering arrangements are as with the camping accommodation.

Good Hotels All Over The Planet
We carefully select good hotels where we are welcomed back year after year. As our brochure is printed a year in advance, the hotel, and even the resort, may change. Good, tasty meals are provided for us in the hotel restaurant. Swimming pools and other facilities may not always be open due to maintenance or seasonal closure.

HAVE THE RIGHT DOCUMENTS
As all our holidays cross international borders please ensure that our records of your name match your passport.

Passports for British Citizens
For all of our resorts, British citizens will need a valid UK Passport. (If you do not have a passport, allow at least two months to obtain one.) It is wise to check that your passport is valid for the duration of the holiday at this point.

Non-British Citizens - Please check Visa Requirements
We strongly advise all other nationalities to check current visa requirements for the resort destination, and the countries we will be travelling through, immediately at the time of booking, as there can be delays in issuing visas. We are happy to send you a letter confirming your holiday reservation to support your visa application after payment of your full holiday cost.

European Health Insurance Card
When travelling in Europe, make sure you've got a European Health Insurance Card (EHIC) as well as travel insurance. An EHIC is free, and it could save you a lot of money and hassle - if you need medical help while you are away. The EHIC is the replacement for the E111 form which has now stopped being issued. To apply for an EHIC or for more information look online at www.dh.gov.uk/travellers or call 0845 606 2030. It is important to mote that an EHIC is not a replacement for travel insurance and should be carried with you whilst abroad.

TRAVEL INSURANCE FOR YOUR JOURNEY
We ask all guests travelling with Oak Hall to ensure they are covered by a thoroughly comprehensive travel insurance policy that covers all eventualities for the duration of their holiday - for more information, please click "insurance" at the top of the Oak Hall web pages.

WINTER HOLIDAYS: THE BEST LIFT PASS FOR YOU
Winter sport lift passes come in a bewildering variety depending on age, duration, time of the season, your chosen resort and snow conditions. On our website, you will find details of the lift passes available and you will be able choose the best one for you. You can pay for your pass online with your winter holiday final payment. A week before your holiday departs, we will inform you of any balance remaining to be paid due to currency fluctuations. This can also be paid for online.

BOOK AS SOON AS POSSIBLE!
Do apply as soon as possible to ensure you do not miss out on a place with us. We will carefully keep in touch with you from our Manor House in the hills of Kent. You are always welcome to come to see us. It is a beautiful place and is home for us as a team.

Whilst we recommend booking online, you can also pay by bank transfer. Such transfers usually take 4-5 working days, sometimes longer from abroad. Your booking is not confirmed until you receive the confirmation e-mail or letter from the Oak Hall office team.
